Frequently Asked Questions

Below is a selection of questions frequently asked about events in our historic and unique venues.

What time can Suppliers access the venue before our event?

At the Roman Baths and Pump Room, access for suppliers is from 6:15pm.  Guest access is from 7pm in the Roman Baths and 8pm in the Pump Room.

At the Victoria Art Gallery, you are able to set up from 5.30pm with entry for guests at 6pm.

In all other venues please discuss your start time when making the booking or with a member of staff.

What’s the latest time my event can finish at night?

Your event can finish at 1am, with a bar closing at 12.30am. This must be arranged in advance and there is a £100 surcharge from Bath’s Historic Venues.  In all cases the Bar closes 30 minutes before the end.

Do I need to provide public liability insurance?

You will need to have public liability insurance to include third party property damage, for up to      £5 million. This will need to be organised before your event takes place and we will need to see a copy of your certificate.

Do your prices include VAT?

Charges at the Roman Baths, Pump Room, Assembly Rooms and Guildhall are subject to VAT at the prevailing rate. Room hire at the Victoria Art Gallery is exempt for VAT except for weddings  where HMRC regulations necessitate that VAT is added.

Can I choose my own caterer?

At the Roman Baths, Pump Room and Assembly Rooms, catering is organised by our contracted caterer Searcys.  They can be contacted on 01225 444477.

You may choose your own caterer at the Victoria Art Gallery.  Please note that they or you will need to provide a personal licence holder for the serving of any alcohol. 

Can we choose our own AV company, band etc…?

You can choose your own suppliers in all of our venues so long as they meet our terms and conditions. See our suppliers list for suggestions.  All AV suppliers are required to sign a Contractors Code of Conduct and provide Method Statements in advance of the event.

Do you provide the Registrar for Wedding Ceremonies?

You will need to book and pay for the Registrar separately.  Please contact the Register Office direct on 01225 477234.

Can I have candles at my event?

You may have candles in candelabras so long as they have drip catchers.  Tea lights must be in heat-proof votives or glasses which contain the flame.  Pillar candles should be in storm lanterns, hurricane vases or similar. We cannot accept candles in locations below paintings or in the fire grates.  Function Managers reserve the right to extinguish flames or remove candles they deem to be a fire hazard.

Is there anything I need to be aware of when hiring a live band or DJ?

We have noise limiters at each of our venues which are set to 96dB.   We recommend that bands and DJs all complete a sound check prior to the start of the event.  Please note that Bath’s Historic Venues do not supply the equipment for the playing of dance music or amplification of instruments.

How many people fit around your banqueting tables?

Our round banqueting tables can accommodate a maximum of ten guests, but there are also a limited number of larger round tables that can seat up to twelve guests (not on the Terrace).  We can also provide long top tables for weddings in the majority of the rooms.

Do you have wheelchair access?

Yes, all of our venues are wheelchair accessible.

Do you provide chair covers?

We do not provide chair covers but you are welcome to organise your own supplier for the Assembly Rooms.  We cannot accept chair covers (or alternative chairs) at the Roman Baths, Pump Room or Victoria Art Gallery.  Please note that chair covers and alternative chairs must meet our terms and conditions.  Ask a member of staff for details.

Can I fix anything to the building?

We cannot allow anything to be fixed to the fabric of the buildings, and this includes gaffer tape on the floors. 

Do you have parking at the venues?

We do not have any private parking available but as the venues are all city centre, they are all within a short walking distance to both short stay and long stay car parks.  The Bus and Railways stations are also within walking distance.


Things to Remember

  • Please inform your guests in advance that the floors in many of the rooms are wooden and highly polished and the wearing of metal tipped stilettos is discouraged.
  • The stone pavements around the Roman Baths are very uneven and guests should be reminded to take particular care.
  • For security reasons, please inform us in advance of any VIPs attending your event.
  • We ask that you help to ensure that all guests attending the event behave appropriately.

Please note that due to the historic nature of the venues, there are some restrictions.  We do not allow the following within the buildings:

  • Helium balloons
  • Dry ice or smoke machines
  • Sparklers and indoor fireworks
  • Silly string and spray snow
  • Bucking broncos or similar
  • Ice sculptures
  • Liquid Bubbles

Confetti and bouquets must be thrown outside the curtilage of our venues only please.
